By default, invoices, quotes, reminders and statements are sent from our mail service on behalf of your business. If you connect your own mail server, they are sent from your own email address instead, and replies come straight back to you.
Premium feature
Connecting your own mail server is available on Premium. If your account moves back to the free plan, your connection is kept but ignored until you upgrade again.Connecting your mail server
- 1
Open Settings > Messages
Click Messages under Settings in the sidebar and find the Your mail server card. - 2
Choose a provider and enter the details
- SMTP2GO: your own SMTP2GO API key and a sender address you have verified in SMTP2GO.
- SMTP: the server name, port, username and password from your email provider, plus the address emails should be sent from.
- 3
Save and let the test run
Click Save. We send a test email to your business email address straight away. Once it gets through, the connection is verified and your client emails go out through your server. If the test fails, the error shows on the card: fix the details and click Send test email. Changing any connection detail later sends a new test. - 4
Optional: remove Rebill branding
Switch on Remove Rebill branding to take the Rebill name out of the sender name and the footer of those emails. This switch becomes available once the connection is verified. - 5
Optional: pause it
Switch off Send client emails through this server to send from Rebill again for a while without removing your details. Switch it back on whenever you are ready.
Which emails use your server
Only emails to your clients and customers. Sign-in codes, billing emails from us and notifications sent to you and your team always come from Rebill.
Replies go to the address you connected unless the email sets its own reply address. Links inside the emails, such as paying or managing a booking, still open on Rebill pages.
If your server has a problem
If a send through your server fails, that email goes out the normal way so it is not lost. After five failures in a row we switch your connection off and email you once. Fix the problem and send the test email again. Once it gets through, your server is used again.
Open and click tracking keep working. Delivery and bounce status is not available for emails sent through your own server, so they show as sent.
Ports and deliverability
Use port 465 (secure from the start) or 587 or 2525 (secure after connecting). Port 25 and unencrypted connections are not supported. Send from an address on a domain you control, and make sure your provider has SPF and DKIM set up for it so your emails land in the inbox.
