Quote statuses explained

Understand what each Rebill quote status means: Draft, Sent, Accepted, Declined, Expired, and Converted. Learn how quotes move through the approval workflow.

Each quote has a status that shows where it is in your workflow, from first draft through to accepted, declined, or converted.

Draft
The quote has been created but not yet sent to the client.
Sent
The quote has been emailed to the client. They can view, accept, or decline it.
Accepted
The client has clicked Accept on their quote. You can now convert it to an invoice.
Declined
The client has clicked Decline. A declined quote can no longer be edited, so create a new quote if you want to negotiate.
Expired
The "Valid Until" date has passed and the quote was not accepted. You can reinstate it with a new expiry date if needed.
Converted
The quote has been converted to an invoice. The quote shows a link to the resulting invoice.

Reinstating an expired quote

If a client comes back after a quote has expired, go to the quote and click the primary "Reinstate quote" button at the top of the page, and set a new expiry date. The quote will go back to Sent status.

Which quotes can be edited

You can edit a quote while it is Draft, Sent, or Expired: open the quote, open the More actions menu (the ⋯ button top right), and click Edit quote. Editing does not change the status, so a quote that was sent stays sent.

While a quote is still a Draft you can also change its number on the edit form, for example when it was created before your numbering was set up. The new number must not be in use by another quote. Once a quote has been sent its number is fixed, because that is the number your client has on file.

Saving a quote also refreshes its VAT setting from your business profile, so a quote created before you added your VAT number shows VAT after you edit it.

Accepted, Declined, and Converted quotes cannot be edited. Your client has already answered those, or an invoice has been raised from them, so create a new quote instead.

Resend after editing

Your client keeps the copy you originally sent them, so after editing a quote that has already gone out, resend it. Rebill prompts you to do this on the quote page right after you save.
